This document outlines the process for administrators to offboard a member from the team account.
1. Overview
The Offboarding feature allows administrators to remove a member from the team, immediately freeing up their subscription seat for another user. The offboarded member enters a 24-hour grace period during which the action can be canceled. After this period, the member is permanently removed from the team's dashboard.
2. How to Offboard a Member
Follow these steps to initiate the offboarding process for a team member:
- Navigate to the Members tab from your admin dashboard.
- Identify the member you wish to remove from the team.
- Click the Actions menu (...) associated with that member.
- Select Details from the dropdown menu.

In the Details view, click the Offboard button.

A confirmation dialog will appear. Confirm the action to proceed.
Once confirmed, the member's status will change to "Offboarding."
3. What Happens After Offboarding
The offboarding action triggers several immediate and delayed events for both the administrator and the member.
For the Administrator:
- Immediate Seat Availability: The member's paid subscription (e.g., "Gold Subscription") is immediately freed up and becomes available for a new user. You can verify this by navigating to Billing and Usage > Pending Items and refreshing the page. The active member count will decrease by one.
- Seat Reassignment: You can now add a new Team member by following the instructions here. When adding the new member, ensure you select the same plan type that was just freed up.
- 24-Hour Grace Period: The offboarded member will remain visible on the dashboard in an "Offboarding" state for 24 hours. After this period, they will be permanently removed from the member list.
For the Member:
- Email Notification: The offboarded member will receive an email with instructions on how to convert their account to an individual membership, allowing them to retain their data and continue using the service under a personal plan.
4. Special Consideration: "Do Not Disturb" Status
Members who have the "Do Not Disturb" (DND) status enabled on their account will not receive the offboarding email notification. If it is important for the member to receive these instructions, the administrator must disable the DND status for that user before initiating the offboarding process.

5. How to Cancel an Offboarding
If you offboard a member by mistake or need to reverse the action, you can do so within the 24-hour grace period.
- Locate the member in the "Offboarding" state on your Members list.
- An option to Cancel Offboarding will be available.
- Click this option to immediately restore the member to their previous active status. Their subscription seat will be reoccupied.
